How Mobile Mark Notary collects, uses, retains, and protects personal information for notary services. Plain-English summary of obligations under Florida Chapter 117 record-retention requirements and standard data protection practices.

1. What We Collect

To perform notarial services, Mobile Mark Notary collects information necessary to verify identity, complete the notarial act, and maintain the record-retention obligations imposed by Florida law. This includes:

  • Full legal name as it appears on government-issued ID
  • Photograph of government-issued ID (front and back) for credential analysis
  • Identifiers required for Knowledge-Based Authentication (KBA) for RON sessions — typically a Social Security Number or equivalent
  • Address, phone, email for appointment coordination
  • The document being notarized (in PDF or paper form)
  • For RON sessions: video and audio recording of the entire session, including the document
  • Notary journal entries: date, time, type of notarial act, ID method, signer name and address

2. How We Use Information

Information is used solely to: perform the requested notarial service; comply with Florida Chapter 117 record-retention requirements; respond to lawful subpoenas, court orders, or regulatory requests; and communicate with you about the appointment. Information is not used for marketing, sold to third parties, or shared except as required by law.

3. RON Session Recordings

Florida law requires Remote Online Notarization session recordings to be retained for at least 10 years (§117.245, F.S.). The recording includes video, audio, and the document. Recordings are stored on the Florida-approved RON platform's secure infrastructure with encryption at rest and in transit. Recordings may be released only to the signer upon request, to law enforcement upon valid legal process, or to the Florida Department of State for regulatory review.

4. Notary Journal

The notary maintains a journal of every notarial act performed, as required by Florida law and best practice. Journal entries are retained for the duration of the commission and beyond as required by statute. Journal entries are not public and are released only as described in Section 3.

5. Data Security

Information is stored on encrypted devices and platforms. Physical journals are kept in a secure location. RON platform security is maintained by the platform provider and meets Florida technology standards under §117.295. We do not store credit card information directly; payment processing is handled by third-party processors.

6. Cookies and Website Analytics

The myflron.com website uses minimal cookies — those required for site function and basic analytics (Google Analytics or equivalent). The website does not use behavioral advertising cookies. Visitors may opt out of analytics through standard browser controls.

7. Third-Party Services

Mobile Mark Notary uses third-party services for: RON platform delivery, KBA, payment processing, email communication, and website hosting. Each provider is contractually obligated to maintain security and confidentiality consistent with Florida notary requirements.

8. Your Rights

  • Access: You may request a copy of records relating to your notarization, subject to retention rules
  • Correction: Notary journal entries cannot be modified after the fact (this is required by law to preserve integrity), but errors in non-journal records can be corrected
  • Deletion: Limited — records subject to Florida retention requirements cannot be deleted before the retention period expires
  • Opt-out: You may opt out of marketing communications at any time (we do not send marketing as a matter of practice)

9. Children

Mobile Mark Notary does not knowingly collect information from individuals under 18. Notarial services for minors require additional procedural compliance and parental involvement; contact us before scheduling.

10. Changes to This Policy

This policy may be updated to reflect changes in law, technology, or practice. Material changes will be posted on this page with a revised effective date.
